When working with the connectivity to OPERA Cloud, you have two workflows to choose from. This article describes on how to send proposals from Proposales that will create new blocks in OPERA Cloud. If you are interested in importing your blocks from OPERA Cloud instead, then check out this article.
How to send an offer from Proposales to OPERA Cloud
These are the steps to follow to create a proposal that will sync with Opera.
Start by selecting a template in your Proposales account.
Edit the title of the proposal and choose a date in the SmartText: Period. This field is a prerequisite as we will fetch the correct availability and prices based on the date chosen in this calendar. You don't have this field in your templates yet? Check out this article to see how to add it.
In the sidebar on the left, you will find the menu with OPERA Cloud settings. Make sure that the toggle is activated for the connectivity to be active. Please also add the number of attendees. If needed, you are also able to edit your preferences for the block. A drop down in each of the fields with all your options will show.
Go to Content and chose the products to be offered to your client. At one glance you can see which inventory is available, not available or partially available. You can search for a specific product using the name of the product or the product code from OPERA Cloud. Click on the blue plus to add the product to your proposal.
When adding a Accommodation you can choose to see your availability per rooms category or per room pool. The rates will be fetched from Opera according to the rate code, the period and the room category.
When selecting the rooms you want to offer to your client, you can specify the occupancy for each room. If no price is available for a specific rate code, you can enter one manually. You can also edit prices retrieved from OPERA Cloud. To include additional occupancy options, simply add more rows as needed.
When adding Meeting Rooms, you can modify the number of attendees, event type and set up style. You can also adjust the event name if desired. We will also display all the rental codes you have configured in OPERA Cloud, so you can adjust the price as needed and add a discount if you wish to do so. For every new event you want to add to your proposal, just click on new row and fill in the respective details.
For adding Event Resources, just click on the blue plus and add the items or menus you want to offer on your proposal. Prices will be fetched from Opera directly, for items the price can be changed if needed. Also, the quantity can be changed on both items and menus.
You can also add a Catering Package to your offer. We will fetch the price from OPERA Cloud, also your different price codes will be found there if you have configured them. If your catering package has default function spaces attached to it, they will automatically show up when adding the product to your proposal. Otherwise, they can be chosen manually. Make sure that every event has a function space assigned to it, as this information otherwise can not be synced to OPERA Cloud.
After adding all products, go to Recipients to add the recipient of your proposal. You will find all your OPERA contacts here in the list. When using a contact for the first time, please write the full mail adress or the full name. When you have used the contact before, it will appear after writing the first letters.
You can identify that a contact is fetched from OPERA Cloud by the small Oracle symbol.
Send the proposal and the block will be created in OPERA Cloud automatically including all the products selected previously. You can see the status of the block after sending on the right side of the proposal:
If you need to do edits on the proposal, simply click on "New Version (Edit)" and adjust the products accordingly. It will sync with the Opera block simultaneously.
Once the recipient accepts or denies the offer the status of the Block will automatically change status to what you have set the settings.
