Overview
The Buyer Portal is a post-sale assistant designed to provide buyers with a centralized place to access event information, manage attendees, communicate with the hotel, and stay updated throughout the planning process.
The portal can be enabled before or after a proposal is accepted, giving sales and event teams flexibility in when they introduce it to their clients.
Enabling the Buyer Portal - Please reach out to Support
Once it is activated - Navigate to Settings to manage the Buyer Portal configuration.
Proposal creation
Portal Activation
Turn Buyer Portal On to make the portal available to the client.
If enabled before sending a proposal, the portal becomes available as soon as the proposal is sent.
The portal can also be activated at any time after the proposal has already been sent.
Editing Portal Dates
The portal dates are independent from the proposal and can be updated whenever needed.
Changes made to the portal dates are reflected in the Buyer Portal experience.
Buyer Portal Sections
Home
The Home page becomes available from the moment the proposal is sent (provided the portal is enabled).
It serves as the buyer's landing page and includes:
Event handover information
Communication updates
Quick access to portal sections
Section Availability
All Buyer Portal sections are visible to the buyer.
However, only the Attendees section is controlled by the portal dates.
Schedule
Always available.
View-only for buyers.
Does not depend on the selected portal dates.
Attendees
The availability of the Attendees section depends on the configured portal dates.
Within this section buyers can:
Upload attendee lists.
Manage room assignments using drag-and-drop.
Add notes for individual attendees.
Uploading Attendee Lists
Attendee lists must now be uploaded using the supported file format.
Note: Files must be uploaded in the required .xlsx format.
If an unsupported file format is uploaded, the import will not be processed.
Room Assignment
The Buyer Portal supports drag-and-drop room assignments, allowing buyers to easily organize attendees into rooms.
Changes are saved automatically and will be syned to Opera Cloud when the sales agent clicks on the Sync-Button. Then, reservations will be created on the block in Opera based on the chosen room assignment.
Attendee Notes
Users can add notes to individual attendees.
These notes are synchronized with Opera when the sales agent syncs them through the Portal.
When synced:
The note is created as an Event Note in Opera.
The note is associated with the events that the attendee is scheduled to attend.
Chat
The Buyer Portal includes built-in messaging between the buyer and the venue.
Initial Message
When a proposal is sent, the first message included with the proposal automatically becomes the first conversation in the Buyer Portal chat history.
This gives both parties a continuous communication thread from the start of the sales process.
Notifications
When a new chat message is received, users are notified through:
Email notifications
The notification indicator in the left-side navigation menu
Opera Synchronization
The Buyer Portal synchronizes selected information with Opera to help keep event data consistent across both systems.
Currently supported synchronization includes:
Attendee notes are sent to Opera as Event Notes.
Each note is linked to the events the attendee is participating in.
Creation of room reservations.
Additional synchronization behavior may depend on your Opera integration and system configuration.
Frequently Asked Questions
When does the Buyer Portal become visible?
If the Buyer Portal is enabled before a proposal is sent, it becomes available immediately after the proposal is sent.
If it is not enabled initially, it can be activated later at any time.
Can I change the portal dates after enabling it?
Yes. Portal dates can be edited at any time from the Settings section.
Why can't my client access the Attendees section?
The Attendees section is controlled by the configured portal dates. Verify that the current date falls within the allowed access period.
Is the Schedule affected by portal dates?
No. The Schedule is always available as a view-only section.
What file format is supported for attendee uploads?
Attendee lists must be uploaded as .xlsx files.
How are attendee notes synchronized?
Notes added to attendees are synchronized to Opera as Event Notes for the events that attendee is scheduled to attend. The sales agent can sync them anytime from the portal to Opera.
