Invoicing Forms: Standard & Customizable

Proposales gives you two ways to collect invoice details from your customers:

  1. Standard Invoice Form (default active)

  2. Custom Invoicing Form

This article explains the difference and shows you how to use each.


Standard Invoice Form

The Standard Invoice Form is enabled by default in your Proposales account.
It includes the most common fields needed to issue an invoice, such as:

  • Company name

  • Company number

  • Invoicing Address

  • Zip Code

  • City

  • Reference

  • e-Invoice email address

Simple and ready to use – no setup required.
Not customizable – fields and labels cannot be changed.

⚠️ Make sure, before sending the proposals, that the invoice toggle is ON in the proposal


Custom Invoicing Form

If you need more flexibility, you can use the Custom Invoicing Form. This allows you to design your own invoice form, beyond the default setup.

Key Features

  • Customizing Default Fields
    Change labels, add descriptions, or make a field required/optional.

  • Adding Custom Fields
    Create new fields with different input types:

    • Text input

    • Dropdown (select)

    • Checkboxes

  • Field Management
    Show or hide fields, reorder them, and configure validation rules.

  • Multi-language Support
    Add translations for labels and descriptions in multiple languages.

  • Live Preview
    Preview the form exactly as your customers will see it before publishing.


How to start using the Customize Invoicing Form

  1. In Settings → Invoicing Form, you’ll see a list of fields.

  2. For each field, you can:

    • Edit the label and description

    • Choose if it’s required or optional

    • Reorder or hide fields

  3. To add a new field, click Add Field and choose the input type (text, dropdown, checkbox).

  4. Use the Preview button to see how the form will look to customers.

  5. Save!
